# We Built ForwardChat: AI WhatsApp Automation for Malaysian SMEs

If you run a business in Malaysia, WhatsApp is your lifeline. It's how your customers ask about products, make bookings, complain, and place orders. But here's the problem — you can't reply fast enough.

We saw this firsthand with our clients. Restaurant owners spending 4 hours a day replying to the same questions. Clinic receptionists juggling phone calls and WhatsApp at the same time. Tuition centres losing students because parents didn't get a reply within 30 minutes.

So we built ForwardChat — an AI-powered WhatsApp automation platform designed specifically for Malaysian SMEs.

The Problem: Malaysian SMEs Are Drowning in WhatsApp Messages

WhatsApp isn't just a messaging app in Malaysia. It's basically our national business communication tool. According to Meta, Malaysia has one of the highest WhatsApp penetration rates in the world — over 98% of smartphone users have it installed.

For SMEs, this means:

  • Customers expect instant replies — if you take more than 15 minutes, they message your competitor
  • Same questions, over and over — "Berapa harga?", "Ada stock tak?", "Boleh COD tak?"
  • After-hours messages pile up — you wake up to 50+ unread messages
  • Hiring staff just to reply — some businesses pay RM2,000-3,000/month for a dedicated WhatsApp responder
The worst part? Most of these messages are repetitive. A kedai makan gets asked "Menu apa ada?" 30 times a day. A clinic gets "Doktor ada hari ni?" constantly. A tuition centre fields "Kelas BM berapa?" every enrollment season.

This is a problem that automation should solve.

Why We Decided to Build a Product

At Forward Genix, we've been building custom software for clients for years — CRMs, dashboards, web apps. But we kept seeing the same pattern:

  1. Client asks us to build a WhatsApp chatbot
  2. We build a custom solution for RM15,000-30,000
  3. Another client asks for basically the same thing
  4. Repeat
After the third or fourth WhatsApp project, it clicked — this should be a product, not a custom build every time.

The market was there. Malaysian SMEs needed WhatsApp automation, but the existing solutions had problems:

SolutionProblem
International chatbot toolsDon't understand BM or Manglish. Try typing "boss, brg ni ada lg x?" into a US-built chatbot
Manual WhatsApp BusinessQuick replies are limited, no AI, no after-hours automation
Custom developmentRM15K-30K per business. Only enterprises can afford this
Unofficial WhatsApp toolsRisk of account ban. Meta actively blocks unofficial APIs

We saw the gap: an affordable, BM-fluent, officially compliant WhatsApp automation tool built specifically for the Malaysian market.

That's how ForwardChat was born.

The Tech Behind ForwardChat

We're developers at heart, so let's talk about the stack.

WhatsApp Cloud API (Official Meta API)

ForwardChat runs on the official WhatsApp Cloud API — the same API that Meta provides to businesses worldwide. This matters because:

  • No ban risk — we're fully compliant with Meta's policies
  • Embedded Signup — your customers connect their own WhatsApp Business number through Meta's official flow
  • Scalable — handles thousands of messages without issues
  • Template messages — for broadcast and follow-ups, approved by Meta
We went through Meta's business verification process, which involves SSM certification and compliance checks. It took time, but it means ForwardChat users are on solid ground.

Claude AI for Natural Language Understanding

Here's the thing about Malaysian conversations — they're complicated. In a single chat, a customer might switch between English, BM, and Manglish multiple times:

"Hi boss, nak tanya pasal package wedding tu. How much ah? Include setup semua ke?"

Most international AI chatbots would choke on this. We use Claude AI by Anthropic (the same company behind the AI assistant Claude) because it handles multilingual conversations exceptionally well.

Our AI layer does:

  • Language detection — automatically detects BM, English, Manglish, or mixed
  • Intent recognition — understands what the customer actually wants, regardless of how they phrase it
  • Context memory — remembers what was discussed earlier in the conversation
  • Tone matching — replies in the same language and formality level as the customer

AWS Infrastructure

ForwardChat runs on AWS, specifically in the ap-southeast-1 (Singapore) region for low latency to Malaysian users:

  • EC2 for compute
  • RDS (PostgreSQL) for the database
  • S3 for media storage (customers send images, documents)
  • CloudFront for the dashboard CDN
  • CloudWatch for monitoring and alerting
We designed for reliability first. WhatsApp messages can't be "try again later" — if a customer messages your business, the reply needs to go out within seconds.

What ForwardChat Actually Does

1. AI Auto-Reply

The core feature. ForwardChat reads incoming WhatsApp messages and replies intelligently based on your business information.

How it works: - You upload your product catalog, FAQ, pricing, and business details

  • The AI learns your business context immediately — no training period
  • When a customer messages, ForwardChat generates a relevant, accurate reply
  • Replies go out in seconds, 24/7
Example: > Customer: "Hai, kedai tutup pukul brp hari ni?"

ForwardChat: "Hi! Hari ni kami buka sampai 9 malam ya. Nak datang ke kedai, atau nak order delivery? 😊"

2. Image Recognition

Customers don't just send text — they send photos. "Ada macam ni tak?" with a picture of a product. "Ni rosak macam mana nak fix?" with a photo of a broken item.

ForwardChat can process images and respond contextually. A restaurant customer sends a photo of a dish they had before — the AI can identify it and provide pricing or availability.

3. Knowledge Base — "Teach Your AI"

This is the feature business owners love most. Instead of complex setup or programming, you simply:

  1. Upload your products/services — names, descriptions, prices
  2. Add your FAQ — common questions and answers
  3. Set business details — operating hours, location, policies
  4. Done — the AI immediately knows your business
No coding. No technical knowledge required. If you can fill in a form, you can set up ForwardChat.

4. Human Handover

AI handles the routine stuff, but some conversations need a human touch — complaints, complex orders, sensitive issues.

ForwardChat detects when a conversation needs human intervention and seamlessly hands it over to your team. The human agent sees the full conversation history, so the customer doesn't have to repeat themselves.

5. Multi-Language Support

ForwardChat natively supports:

  • Bahasa Malaysia — proper BM, not Google Translate BM
  • English — professional and conversational
  • Manglish — the real way Malaysians text ("can la", "got stock or not", "how much ah")
  • Mixed — seamlessly switches between languages mid-conversation
This is our competitive moat. International tools like Zendesk bots or Tidio simply cannot handle "Boss, brg tu ada lagi x? Kalau ada I nak 2 pcs. COD area PJ boleh?"

Pricing: Transparent, No Markup

One thing we were adamant about — transparent pricing. Too many SaaS tools hide costs behind "contact sales" or charge markup on messaging fees.

ForwardChat pricing:

  • Plans start from RM299/month
  • No markup on Meta's conversation charges — you pay Meta's rate directly
  • No per-message fees from us — unlimited AI replies within your plan
  • No long-term contracts — month-to-month billing
Check out ForwardChat's pricing for the full breakdown.

We priced it so that even a small kedai or home-based business can afford automation. If you're currently paying someone RM2,000/month just to reply WhatsApp messages, ForwardChat pays for itself immediately.

Who Is ForwardChat For?

ForwardChat works for any Malaysian business that gets significant WhatsApp volume:

Business TypeCommon Use Case
Restaurants & F&BMenu inquiries, reservations, delivery orders
Clinics & HealthcareAppointment booking, operating hours, service inquiries
Retail & E-commerceProduct availability, pricing, order status
Tuition CentresClass schedules, enrollment, fee inquiries
Salons & SpasBooking appointments, service pricing
Property AgentsListing inquiries, viewing scheduling
Professional ServicesService pricing, consultation booking

If your business receives more than 20 WhatsApp messages a day, and most of them are repetitive questions, ForwardChat will save you hours.

Check out how ForwardChat works — setup takes less than a day.

What's Next for ForwardChat

We're actively building new features:

  • Broadcasting — send promotions and updates to your customer list (Meta-approved templates)
  • Scheduled Messages — follow-up reminders, appointment confirmations
  • Google Sheets Integration — auto-log conversations and leads to spreadsheets
  • Analytics Dashboard — conversation metrics, response times, customer satisfaction
  • Multi-Agent Support — assign conversations to different team members
Our roadmap is driven by what Malaysian SMEs actually need, not what Silicon Valley thinks they need.

Lessons Learned Building ForwardChat

Building a SaaS product from Malaysia comes with unique challenges. A few things we learned:

1. BM/Manglish Support Is a Real Competitive Advantage

We initially underestimated how important this was. International WhatsApp automation tools exist — Respond.io, WATI, even Twilio. But none of them handle Manglish well. When your AI replies "I'm sorry, I didn't understand your query" to "boss ada stock x?", you've lost a customer.

2. Malaysian SMEs Need Simple, Not Powerful

Our first prototype had too many features. Dashboard with 15 tabs. Configuration pages everywhere. Business owners took one look and said "complicated sangat".

We stripped it down. Upload your products, set your business hours, turn it on. That's it. Advanced features are there, but hidden until you need them.

3. WhatsApp Cloud API Approval Takes Time

Meta's business verification process for the WhatsApp Cloud API isn't instant. Malaysian businesses need SSM certification, and the review can take 1-5 business days. We learned to set expectations early and guide customers through the process.

4. Pricing Sensitivity Is Real

We tested several price points. RM99/month got interest but attracted businesses that weren't serious. RM999/month scared away the SMEs we wanted to serve. RM299/month hit the sweet spot — affordable enough for small businesses, high enough to filter out tire-kickers.

From Client Work to Product Company

Building ForwardChat changed how we think about Forward Genix. We're still a software consultancy — we still build custom systems, websites, and web apps for clients. But now we also have a product.

The skills transfer both ways:

  • Client work taught us what businesses actually need (not what we think they need)
  • Product development made us better at building scalable, maintainable systems
  • Supporting real users keeps us sharp on UX and reliability
If you're a Malaysian developer or agency thinking about building a product — do it. The market is there. Just make sure you're solving a real problem, not building tech for tech's sake.
